Where is the work getting stuck?

For growing businesses without an in-house IT department.

Customer follow-up

Enquiries arrive, quotes go out and the next step depends on someone remembering. Make the owner, status and next action easier to see.

Operational handovers

Sales, delivery and accounts work from different information. Connect the details they need so each stage can move forward.

Everyday admin

Your team retypes data, assembles reports and searches for updates. Give recurring tasks a clearer process and reduce avoidable manual work.

Copy and paste has had a respectable career. It needn’t run the business.

Client story: GIFTA LTD

How we solved it for GIFTA...

For influencer marketing agency GIFTA, we started with the processes behind campaign delivery and built a connected platform around them.

A stronger foundation for growth, with more control over its data, technology and client experience.

The challenge

Client delivery relied on disconnected tools and manual processes. They had a plan for growth but the existing setup was holding them back. GIFTA needed to bring data in house, build IP within the organization, connecting influencer information, campaign workflows and client collaboration together.

How we approached it

We reviewed the existing workflows, identified the bottlenecks and prioritised the work. We then designed and built the platform in stages, connecting it to the team's existing systems and reviewing progress together.

The result

GIFTA is now set up for successful growth, with a connected platform that supports its teams in servicing more clients and rolling out additional propositions.

By bringing data in-house and building its own technology and intellectual property, GIFTA has created lasting business assets, strengthened the value of the company and gained a foundation it can continue to build on.

Practical improvements, built around your business

Connect and automate

Link the tools you already use and automate repeatable steps between them. Use AI for tasks such as extracting information from documents or preparing a draft response, with clear checks where a person needs to decide.

For example, a new enquiry could create a customer record, assign a follow-up and prepare a reply for review. We work through the exceptions too: missing information, duplicate records and steps that need approval. The aim is a process your team can follow, with less rekeying and clearer ownership of what happens next.

Build a platform that fits

Bring customer information, jobs and operational workflows into a platform designed around your business. Start with the capabilities you need, connect existing systems where appropriate and develop it in manageable stages.

This could be a shared view of customers and jobs, a client portal or a workspace for coordinating delivery. We work out what each person needs to see and do, then build and test the first useful version. Access, data ownership and the handover are part of the discussion from the outset, so the platform fits into day-to-day work.

Plan a worthwhile first project

Work through one process, identify where time and effort go, and compare possible improvements. Agree a useful scope, the ongoing costs to consider and how you will judge the result.

We look at how often the task happens, where information comes from and what causes delays or errors. Simpler process changes sit alongside automation as options to consider. Together, we make the assumptions and dependencies clear, define the decisions needed to proceed and establish how you will assess the change once it is in use.

Start with one process. Make the improvement visible.

  1. 1. Understand the work

Map what happens today: the people, systems, delays and decisions.

  2. 2. Agree the first improvement

Choose a manageable scope and define what a useful result would look like.

  3. 3. Build and test

Develop in stages and test against realistic examples, including the awkward ones.

  4. 4. Put it into use

Agree the handover, responsibilities and support arrangements, then review how it performs in practice.
